Who operates Property Mgmt Answering

Property Mgmt Answering is operated by TypeScience, trading as Property Mgmt Answering. This policy explains our handling of information when you visit this website, try the demo or use our AI receptionist for your property management business.

We address account information, onboarding material and call records here because they serve different purposes. You can ask about this policy or make a privacy request by emailing [email protected]. For help with your account or service settings, use [email protected].

Customers, visitors and callers

We handle information about customers and website visitors as well as people who call a customer's business. Customer information supports the account and its service. Visitor information includes activity on this website, including use of the browser demo and chats.

For callers' information, the customer business decides what is collected and why. We process that information on the business's behalf, under the data processing terms included in our terms of service. A tenant's maintenance report, for example, becomes part of that business's call record.

Account and billing information

We collect account details such as your name, business name, email address and phone number. These details identify the account and provide contact information for account communications. They are separate from the caller numbers and messages collected when your receptionist handles business calls.

Our payment processor handles billing information, and we do not store full payment card numbers. An account can also contain usage information, service settings and the choices you make about call handling. The dashboard lets you view usage alongside calls, transcripts and recordings.

Information you provide during setup

We collect your onboarding answers and content from the website you direct us to use. That material tells your receptionist about your services, service area, operating hours, price policy and the requests your business does not handle.

Your instructions also identify urgent situations and the people who should receive urgent calls. You can change settings by telling the AI in plain words. Review the details you supply, including unit information and on-call instructions, so the receptionist has the facts you want used on your calls.

Information collected on calls

We collect call audio, recordings, transcripts, summaries and caller phone numbers when the receptionist handles calls. A call record can include intake answers, the caller's request and the urgency assigned under your business's instructions. These records support message handling and your review of the call.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

The receptionist states at the beginning of a call that it is a virtual assistant and that the call is recorded. Both notices are required parts of the greeting and cannot be switched off. Callers can use the contact details below to ask about their information.

How call information reaches your business

We use call information to provide the answering service your business sets up. That includes taking messages, following your urgency rules, arranging appointments in Google Calendar when you choose that option, and directing urgent calls to your on-call contact.

For each call, we send an email and app push notification containing a summary, urgency tag, transcript and recording. A daily digest email also supports your call review. Your dashboard provides access to call records and settings, so information collected on a call is available for your business to act on.

Browser demo and website chats

We record and transcribe demo calls and chats on this site to show the result of the interaction. The browser demo uses a fictional property management business. You can test a maintenance or leasing scenario and review how the receptionist handles the information you provide.

Use fictional details when trying the demo if you do not want to submit actual tenant, owner or prospect information. Trying the demo is separate from forwarding your business number to the service. If you have a question about information submitted in a demo or chat, email our privacy contact.

Website analytics and cookies

We use privacy-friendly analytics and Google Analytics to understand activity on this website. Google Analytics uses cookies. Website analytics information is distinct from the call recordings and transcripts created when the receptionist answers a customer's business calls.

This policy covers website visitors whether or not they open a customer account. If you have an access, deletion or opt-out request relating to website activity, send it to [email protected]. Identify the activity your request concerns so we can understand which information you mean.

Service providers that process information

We use service providers for hosting and storage, telephone service, AI voice and text models, payment processing, email delivery and analytics. These categories describe the supporting services involved in operating the website, maintaining accounts and handling calls on your business's behalf.

Information is processed through the providers involved in the relevant service, such as call audio for voice processing or billing details for payment processing. Our AI model provider, OpenAI, does not use our API data to train its models by default. We never sell personal information or use callers' data for our own marketing.

Retention and deletion

Recordings are kept for the period the business chooses, either 30 or 90 days, and are then deleted. Transcripts and summaries are kept while the account remains open. They are deleted within 30 days after the account closes or on request.

These retention details distinguish recordings from written call records. If your request concerns a particular call, tell us whether you mean its recording, transcript or summary. Callers can contact the business they called or contact us about the information processed on that business's behalf.

Access, correction, deletion and opt-out requests

You can request access to information, correction, deletion or an opt-out by emailing [email protected]. California residents can exercise their rights where those rights apply. Callers do not have to hold a Property Mgmt Answering account to contact us about their data.

Describe the information or interaction involved, such as your customer account, website chat or call to a property management business. The customer business decides the purposes of processing its callers' information. Your request can therefore concern records that we process for that business rather than information from a direct customer account with us.

Children and policy changes

This service is not for children under 13. The account and call-handling features are offered for business use by property management companies. Questions about information involving a child should be sent to our privacy email address.

We date policy changes on this page so you can see when the published policy was last updated. Before submitting information, you can review the service terms or explore a fictional call through the browser call demo. Send privacy questions to [email protected].
